What is unified communications?

Unified communications is just a buzzword, but the concept that it describes is extremely powerful...

It basically does exactly what it says. It’s the integration of all the real-time and non-real-time communication methods that businesses use, internally and externally, to increase their productivity and reduce costs, amongst other benefits.

It’s a way of unifying communications like instant messaging, voice calls, presence information, digital signage and video conferencing with email, voicemail and SMS for example.

Why do we need unified communications?

If a voicemail is left on someone’s phone the recipient can pick that up by SMS, email, or on a mobile device, immediately after the message has been left. Then if the sender’s presence is set to available the recipient can reply straight away, using whichever communication method they choose. If the sender isn’t accepting calls then a non-real-time message can be sent back (e.g. an email or a voicemail).

What does it all mean? By making all communications between employees, customers and suppliers seamless and completely fluid, it makes life easier for everyone.

No time is wasted looking for contact details or finding colleagues’ calendars for example; everything is instant and at the simple touch of a button.

Why do we need 'presence' information?

Since the arrival of UC, presence information has become central to the concept. But why does it matter so much?

Presence status does so much more than just let people know what someone’s doing; although that is a great feature. It’s a way of connecting everyone via a centralised platform, making it easier for people to contact each other and saving them time whilst doing so.

It’s particularly great when it comes to improving collaboration. Presence information gets rid of that anxious anticipation that comes with not knowing if someone’s available. It makes things immediate, convenient and simple. And because the software is available across desk-based and mobile devices, staff can collaborate from anywhere, anytime.
